Our client is urgently seeking a highly experienced PA, where your sound knowledge of the complete property cycle including searches and post completion will be highly valued. The PA will carry out a myriad of PA duties for the Partners in this fast-paced environment, and therefore you will be used to working under pressure and to strict deadlines but have the ability to ‘make a difference’ and hit the ground running. Job Description:
* Responsible for all aspects of the administrative and secretarial support work for the Conveyancing team
* Working very closely with all members of the team in an efficient, proactive and professional manner, to understand workload, priorities and ensure best practice
* Carrying out Conveyancing searches including local authority, water & drainage, chancel checks and environmental. Use of Companies House
* Apply to the Land Registry (using the portal) for searches and applications for registration and be able to complete and file the SDLT Returns
* Providing a professional, proactive and personable point of contact for external parties, particularly our clients
* Managing the Fee Earner’s diaries and Outlook calendars including setting up meetings and appointments
* Organising various internal and external meetings, including room bookings, refreshments, IT equipment and agendas
* Coordinating and managing hospitality, expenses, and conference calls for the Fee Earners, as required
* Proactively assisting and managing the team’s IT queries/issues, to include liaison with internal IT support and if necessary, our external IT provider
* Audio and copy typing of correspondence with use of digital dictation
* Editing and amending legal documents into house style
* Managing and filtering incoming calls and voicemails and actioning in a timely manner or redirecting as necessary
* Inbox management for the Fee Earners, responding to client enquiries
* Opening new client files and carrying out conflict / AML Checks and closing files
* Preparing billings and billing guides
* Ensuring all team electronic and hard copy filing is managed in a timely and efficient manner, in strict accordance with firm procedures.
* Assisting with cover for Reception and other PAs/Secretaries during holidays and absences. Supporting other PAs/Secretaries or teams during busy periods
* Assisting with setting up meeting rooms for large meetings and events
Person Specification:
* Professional, polite, proactive and well-mannered approach. Excellent interpersonal skills. High awareness of customer service principles and techniques and a natural ability to implement these, together with excellent customer service attitude
* A high level of presentation for all documentation and a good command of written English, a high level of attention to detail and accuracy are essential
* Experience of the office environment, procedures, and good practice. Proactive and pragmatic approach with excellent team working ethos
* Ability to work under pressure, manage workloads, urgent requests, and all deadlines
* Highly organised, efficient, positive ‘can do’ attitude
* Ability to prioritise, be flexible, adaptable, and approachable
* ‘Think outside the box’ and can work independently, without constant supervision
* Able to undertake duties without instruction, using own initiative and prompts
* Liaising and work with other PAs and Secretaries, with a good team working ethos
* Typing speed of a minimum of 60 wpm
* A competent knowledge of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel
* Experience in producing mail merges, correspondence, documents, presentations, working with spreadsheets and databases. Comply with the strict corporate standards and professional presentation at all times.
