A unique opportunity has arisen for a Governance and HR Manager who has proven experience as a Governance Manager and proven experience or an interest in HR to join a well-established, dynamic and driven team within a Trust that is running a programme to deliver community funds across England. This is a 1 year Maternity Cover FTC - due to commence asap. This is a "hybrid" role with 2 or 3 days working within the London office and the rest of the week remote working.

Office coordinator, temps and interns as required, contractors.
Purpose of the role:
The role has principal responsibility for the effective management of Governance and HR support for the organisation and it's board of trustees.
Through effective management of Governance and HR support you will ensure all employees and trustees receive the required support and assistance to operate effectively.
Key duties
1. Work planning for the HR and Governance team and line management of the Office Coordinator.
2. Oversee all the administrative activities that facilitate the smooth running of an organisation, ensuring that relevant records are up-to-date and that all relevant administration processes are reviewed and developed as needed to ensure they remain effective and fit for purpose.
3. Manage professional services relationships and contracts for HR and governance, including contract reviews and retendering for HR providers, board management software and others e.g. trustee recruiters.
4. Set and manage budgets for HR, Training and Governance.
5. You will be responsible for the day-to-day management of the HR function for the organisation including:
6. Overseeing recruitment, selection and the induction policy and process.
7. Monitoring various aspects of an employee performance, such as attendance and sick leave and managing delivery of the appraisal system.
8. Oversight and coordination of training and development across the organisation with responsibility for assessing need, designing and implementing organisation wide training programs accordingly.
9. Supporting line managers with any disciplinary processes, formal grievances and other HR matters, obtaining HR guidance and support as necessary to ensure legal compliance and best practice.
10. Support the CEO to set and review pay policies and employee benefits.
11. Be responsible for the production, maintenance, communication, and embedding of the organisations HR and health and safety policies and procedures and their compliance with employment regulations. Partnering with our HR consultants as required.
12. You will be responsible for the day-to-day governance management for the organisation including:
13. Act as secretary to the board and be the key contact for trustees with responsibility for ensuring that the organisations board, committees, and senior management team are supported efficiently and effectively.
14. Work proactively with colleagues to support and report to the board and committees (responding to requests for information, ensuring that information produced for the board is consistent, etc).
15. Organise and prepare meetings, agendas and papers for board meetings, committees, and annual general meetings (AGMs), in a timely manner.
16. Minute meetings, or ensure that minutes are taken, that they are clear, accurate and checked as appropriate, draft resolutions for the board, and follow up on actions from meetings
17. Oversight and coordination of governance administration including maintenance of statutory books, keeping a timetable for the review of board-related policies and review of terms of reference. Work with the Chief Executive to make sure that policies and records are kept up-to-date and referred to the appropriate committee for approval.
18. Deal with correspondence, collate information and write occasional reports as requested by the Board, ensuring that decisions made are communicated to the relevant people.
19. Provide ad hoc support to the Protector for the organisation, as necessary.
20. Support the Chair of the Board to carry out their duties, including but not limited to trustee recruitment and induction, governance reviews, the trusts area visits and tender processes.
21. Attend relevant training courses and maintain awareness of external affairs, including changes to law relevant to the work of the organisation.
While these are your main areas of responsibility, no role profile can cover every eventuality. As this is a post in a small staff team, you are expected to offer flexibility as we may reasonably require you to support other tasks from time to time.
Person Specification:
Experience of an HR management or oversight role with good knowledge of at least two of the following: HR policy and procedure, recruitment, training and development.
Experience of being a board secretary, working directly to and supporting trustees, directors and chief executives in delivery of their roles with good knowledge of at least two of the following: servicing a board of trustees at national level, board related policies, meeting management, electronic board software.
Experience of managing contracts with third party suppliers.
Relevant administrative qualification and/or equivalent work experience (paid or voluntary), ideally in a charity or voluntary group.
Experience of budget setting and management.
Excellent writing/drafting and editing skills, and attention to detail.
Solid technical knowledge in relation to a number of the key areas of the role, e.g. governance operations, HR policy, recruitment.
Diplomatic, explanatory, and supportive approach to liaison with and training of staff across the organisation.
Significant personal accountability, with the ability to work on your own initiative with a high level of autonomy, as well as work as part of a team with complex relationships and diverse responsibilities.
