The role will be part based in Worthing office and a couple of days based at home if the candidate is happy to do this or they can be based in the office full time. The successful candidate will report into a Team Leader who will also be based in the Worthing office.
Shifts: Monday-Friday, 37.5 hours
Start: ASAP
Salary: £22.15/hour
Overview:
To work within the Project Delivery Department reporting to the Project Support Team Leader.
The Document Controller will manage incoming and outgoing documents to / from customers and
suppliers, expedite the transmission of documents within the agreed schedule and record the status
of all documents listed on document registers/ project document databases.
The Document Controller will work with Project Managers and Project Engineers to ensure the
integrity and formatting of project documentation, in both digital and paper formats, is in line with
department and project requirements.
Key responsibilities:
The Document Controller shall be experienced in handling large quantities of documents in digital and paper formats employing agreed systems,
Liaise with Client and/ or 3rd Party Contractor Document Control functions to ensure traceability of all documents sent and received,
Administer and control document numbers and reference numbers and use document version management to ensure superseded versions are archived according to procedures,
Set up document registers and manage the receival and transmission of documents based upon project and business requirements,
Maintain project document records that shall accurately define and report the status of every document required by the client/ contract,
If necessary, make non-technical changes to documents so that they comply to the required client or project document format without the need to reject the document,
Prepare and produce internal reports/ information that requires submitting to the Client as required
Establish and/ or maintain a document management & control procedure to which all staff working on Projects will be required to adhere to,
Report on the status and progress of documents as required,
For key document deliverables i.e. those requiring Client approval, the Document Controller will distribute these document deliverables to the necessary approvers for sign-off and ensure it happens in a timely manner
Support the business with SGV compliance and project delivery reporting on a monthly basis
Archiving and retrieval of records to / from 3rd party storage suppliers,
General administration, project and department support duties when required,
