We are working on behalf of a charity based in Shottery. To provide full administrative support to both the Chief Executive and the Head of Clinical Services.
As a PA/Administrator, your main responsibilities will be to:
Provide a full administrative service to the Chief Executive and Head of Clinical Services
Provide administrative support to the Clinical team as directed by the Head of Clinical Services.
Communicate effectively and appropriately on behalf of the Chief Executive/Head of Clinical Services/ Chair of Trustees to all enquiries/queries.
Liaise with Trustees, and as appropriate, provide occasional administrative support for the Chair of Trustees.
Ensure Board and Committee reports/papers are produced and circulated on time with any relevant follow-up action.
Update the Charities Commission, Companies House, and other relevant bodies with the required information.
Maintain timely logging and monitoring of all ‘complaints’ and ‘incidents’, ensuring the procedural process is completed.
Provide HR administration in the absence of the HR manager, ensuring effective handovers.
Organise internal and external meetings as requested.
Transcribe correspondence, minutes, and meetings accurately and timely via the Dictaphone/audio system.
Maintain overall policy/procedures index and liaise with department heads as appropriate.
First contact point for all IT-related queries – maintain a log, feeding into the Head of Finance & Operations.
Facilitate appropriate communications and liaison with IT Support Provider, Telephone System Companies, and management team.
Daily sorting and distribution of all incoming post.
Maintain the Enquiries email In-Box and circulation to the appropriate team member.
First contact for all telephone enquires when reception is unmanned.
Adhere to all Hospice policies and procedures.
Undertake any other duties commensurate with the post and as requested by your line manager/senior management.
