Core purpose of the job

Working within the busy school office delivering excellent support to the whole school community.

The job role may require the successful candidate to undertake a variety of administrative duties not specified in the document, including the manning of the school reception desk, commensurate with the level of the post, at the discretion of the Office Manager. This might include temporary re-deployment to meet the needs of the wider school and may involve normal duties having a lower priority or being temporarily put 'on hold'.

Key tasks

Ensuring that administrative systems and procedures are efficient and fit-for-purpose
Sharing information with other members of the school as appropriate
Assisting with the organisation of events, such as Parents' Evenings, Open Evenings, ensuring that they run smoothly and efficiently.
Contributing to the positive promotion and marketing of the school.
Planning and organising internal and external meetings/interviews as required, ensuring that appropriate information, facilities and refreshments are provided.
Preparing agendas for meetings, taking accurate and timely meeting minutes and preparing and distributing them as required. Including the weekly staff briefings.
Preparing and processing documents, reports and presentation materials, using appropriate software packages and ensuring that the quality of work produced is appropriate for its purpose and produced within required timescales.
Consistently implementing the house style guide in all documentation and communications.
Assisting with any administration on or around GCSE / A level results day and the period following.
Updating the attendance of daily detentions.
Undertaking reception cover in the absence of the receptionist and to support during busy periods and lunch breaks.
Meeting and greeting visitors to the School.
Providing a high-quality information service to staff, pupils, visitors and external callers in respect of current and future school activiti
To have a strong, working knowledge of whole school systems and daily operations (including the school calendar, assemblies, etc).

Undertaking reprographic work when required or to cover the reprographics assistant.
Maintaining records and databases as required, ensuring that information is up to date, readily accessible, managed in accordance with data protection.
