The working day

To undertake, on a rotational basis, shifts that cover an extended working day. These being
06:00 - 13:44 (early A shift - refer shift build up & staff rota)
06:45 - 14:29 (early B shift - refer shift build up & staff rota)
13:16 - 21.00 (late shift) - to include weekends/stand by for and responding to out of hours alarm activation as required - refer shift build up & staff rota)Security and access

Ensuring the security of and access to those buildings/grounds listed at Appendix 1 between 06:00 and 21:00 as referred to above. Opening/closing, activating/deactivating alarms to buildings and surrounding gates/barriers etc in a timely manner.
Maintaining two identical key cabinets; one centrally and one off site; for all buildings. Ensuring that all keys are correctly labelled; indexes are maintained; replacement or additional keys are made where necessary upon liaison with Facilities Manager;
Undertaking minor repairs, maintenance and cleaning

Responding promptly to requests for and reports of items of minor repair (refer Appendix 2 for typical items); making an initial assessment of work required including risk assessment, where appropriate undertaking repairs promptly; ensuring appropriate PPE (gloves, goggles etc) are worn.
To be responsible for safe keeping of all Council tools and equipment under the control of the FM team, maintaining same to a high standard; requesting replacement and/or repairing as necessaryMonitoring, inspecting, testing and recording

To undertake monthly readings of all gas, water, electricity meters on sites listed at Appendix 1 or other sites as requested by the Facilities Manager; recording data and maintaining accurate records;
To carry out portable appliance testing of general electrical items such as heaters, fans and kettles etc as required by the Facilities Manager. Create and maintain a database of tested equipment and testing schedule;

When requested by the Facilities Manager carrying out checks of void premises; recording information as required; where damage or other premises issues are identified liaising with Facilities Manager regarding any follow up actions;
To carry out monthly fire risk inspections to buildings listed at Appendix 1; checking for blocked corridors and fire exits; ensuring the correct placement of fire extinguishers; fire signage is in good order and in the correct place. Making note of any minor repairs and liaising with Facilities Manager regarding any follow up actions;
Ensuring that all fire and intruder alarm system plans and associated documentation are current and up to date; that a set of fire system plans is in place at each fire panel for all buildings listed at Appendix 1;
Providing assistance

Providing assistance to facilitate mobility impaired and disabled access into/out of buildings listed at Appendix 1; including use of passenger, stair and wheelchair lifts
Providing immediate assistance (with colleagues) in releasing persons trapped in lifts by hand lowering of lifts;
Where required, providing attendance at Council/public meetings in the Council House; ensuring safe public access/egress is afforded and public order is maintained throughout;
Undertaking marshalling duties, e.g. public meetings, fire evacuation etc as required by the Facilities Manager; including participating in training where required;
Under the direction of the Facilities Manager providing assistance in the event of major Council emergencies such as marshalling staff; liaising with the Council's out of hours team and external organisations e.g. utility companies; police and fire service etc;
To be First Aid trained including use of Automated External Defibrillator (AED)
Upon receipt of Public Notice's from Democratic Services ensure that on the day of receipt the notices are displayed correctly in the notice board in Priory Street, Dudley; removing out of date notices as appropriate and under advice from Democratic ServicesFacilitating the use of meeting rooms

Daily monitoring of incoming requests for room bookings via face to face, phone, Outlook calendar system etc; accepting/ declining requests as appropriate; liaising with persons requesting room bookings regarding declined requests; establishing and making clear the manner in which the room is laid out/set up; undertaking risk assessment prior to setting up rooms and arranging furniture/equipment as required; ensuring all necessary PPE (e.g. safety footwear) is worn; ensuring that sufficient information is recorded for the booking to enable follow up contact. Post, deliveries and relocation
On a daily basis and in a timely manner undertaking franking of out outgoing mail including recorded and special delivery items/parcels; including liaising with all couriers as necessary;
On a daily basis ensuring that Councillors pigeon hole's are tidy and presentable and that all items are correctly filed;
On a daily basis carrying out the foot courier round delivering post, documents and equipment etc . Liaising with reception staff regarding deliveries received and arranging for them to be collected/delivered to the required destination;
