Our client London Elite Trades Ltd is hiring an Administrative Secretary / Estimator to join their team.
ROLE SUMMARY
The Administrative Secretary / Estimator will be responsible for assisting the Team in carrying out the answering of telephones, speaking and liaising with clients, booking meetings into the company diary, pricing of estimates and quotes for construction works, general installations, renovations, refurbishments, drafting variations, preparing interim and final accounts, invoicing, drafting purchase orders, accounting, ordering materials, maintaining records, programmes and schedules of works.
MAIN DUTIES & RESPONSIBILITIES
Specific objectives and deliverables will be agreed as part of your annual performance and development review process, the points detailed below are a summary of your main duties, requirements, and responsibilities.
* Assisting the Team to prepare estimates, quotes for new build developments, renovations, refurbishments, improvements, maintenance, and general installation works.
* Assisting the Team to carry out construction certification duties for contract works and variations.
* Assisting the Team to prepare operations and maintenance packages.
* Assisting the Team deal with accounting on construction projects, interim and final accounts with the company, clients, sub-contractors, suppliers, and consultants.
* Assisting the Team in undertaking financial checks and maintain financial controls, monitor costs of schemes against budgets and cashflow forecasts.
* Assisting the Team to monitor the status of sub-contractors’ performance in relation to work programs and contract progress.
* Assisting the Team to manage budgets for all construction related activities.
* Assisting the Team to prepare, construction estimates, quotes, and invoices for both commercial and residential projects.
* Assisting the Team in administrative duties such as speaking with clients, booking in projects, and booking in meetings for both commercial and residential projects.
* Assisting the Team with the drafting of works schedules, scopes of works, programmes of work, cashflow forecasts and construction programmes.
* Assisting the Team with booking in client meetings into their diaries for both commercial and residential projects.
* Assisting the Team with the management of health and safety issues in line with the relevant section(s) of the relevant Health and Safety Policies.
* Always comply with Company confidentiality and information security policies.
* Your duties will vary from time to time within the broad remit of your role and grade. You are required to undertake any such reasonable and appropriate duties.
