You will have experience of preparing bid documents and knowledge of bid processes e.g. RFIs, RFQs Clarifications & Qualifications, submitting tenders and pre-qualification questionnaires. You will be confident with decision making at your own level but understand when to involve management and will be used to managing and prioritising a high workload. This will show through in your excellent organisational and project management skills. You must have strong MS Office and IT skills in general, and experience working with CRM systems, including data interrogation and reporting.
Who is our client?
They are a leading provider of construction and O&M support to major offshore wind farm projects.
What is the role?
This is a full-time, permanent position based at our client’s offices in Lowestoft. Reporting to the Managing Director you will be responsible for co-ordinating the tender delivery plan ensuring final collation and submission in a timely manner and the provision of administration/support to the Managing Director. You will also provide accurate business intelligence of the vertical markets that are of interest to the company and wider group utilising sector intelligence tools and media as well as supporting the company’s marketing and communications objectives, utilising both internal and external resources. This position will involve some travel within the UK as well as potentially overseas.
What will my day-to-day duties look like?
Attend customer meetings in support of the tender as and when required.
Collaborate with colleagues to ensure tenders are compiled in line with client expectations and deadlines.
Ensure timely submission of tenders and pre-qualification questionnaires at all times.
Organise tender meetings internally and externally as required.
Maintain and accurate and up to date bid deliverables matrix available at all times.
Monitor bid timeline and if necessary, drive the team to deliver their submissions in the timeframes provided.
Prepare and maintain a summary of tender documents, and work with the bid team assembled to ensure that all aspects of the bid are covered within the submission.
Develop a tender content library, to be built up and improved over time.
Prompt follow up with prospective clients, engaging, logging and advising of potential opportunities on the company’s market intelligence system.
Manage and maintain and report from the CRM System with market intelligence and maintaining a tender tracker for both the company and the Group’s UK and European prospects.
Prepare presentations for both corporate and specific campaigns as required to the company standards.
Liaise and coordinate with the companies Graphic Design and Marketing Consultants to provide branding and design media to support the company’s objectives.
Plan conferences exhibitions, workshops etc, including stand management, meetings and introductions, travel and accommodation.
Support the external marketing consultancy in the development of communication material, including social media, campaigns, website material, capability statements etc.
Organise meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers and presentations, taking minutes and driving actions (including travel, hotel, expenses etc).
Company secretarial administration duties, maintaining company records, and legal document register, preparing company resolutions and executing as necessary, working with appointed solicitors to ensure annual and statutory returns are filed within legal time frames.
